A powerful new addition to ReadyTools Workspace is here. Meet Databases: a flexible, customizable system designed to help you organize, connect, and manage your information, all within your existing workspace.
Whether you're tracking projects, managing clients, planning content, organizing tasks, or building your own workflows, Workspace Databases give you the freedom to structure your information exactly how you want.
And the best part? If you've already used ReadyTools Workspace, much of the experience will feel familiar.
Getting started is simple.
Inside your Workspace, type /database to insert a new Database block. You can create a database from scratch, start with a predefined template, or connect to a database you've already created.
Existing databases can be reused across your Workspace, allowing you to work with the same information without rebuilding everything from the beginning.
You can also switch between available databases directly from the block.
To make getting started even easier, we've included templates for common use cases:
Blank: Start with a completely customizable database.
Projects: Organize and track your projects.
Clients: Keep important client information together.
Content: Plan and manage your content workflows.
Every database can be customized as your needs change.
Not everyone works the same way. That's why Workspace Databases support three different views, each designed for a different workflow.
The Table view gives you a structured overview of your records, organized into rows and properties.
You can create new records, edit existing information, customize properties, and navigate your data in a familiar spreadsheet-like interface.
It's especially useful for managing clients, inventories, project details, and any information that benefits from a structured layout.
If you've used the existing Board block in ReadyTools Workspace, you'll feel right at home.
Database Board views follow the same familiar Kanban-style approach, organizing records into columns and cards.
You can group records by properties such as status, move items between columns, and visually follow progress through different stages.
This makes it easy to manage workflows such as:
To Do → In Progress → Completed
New Lead → Contacted → Closed
Idea → Draft → Published
We've designed the experience to feel consistent with the Board system you already know.
The Calendar view organizes database records around their dates.
Instead of searching through rows to find upcoming events, deadlines, or scheduled work, you can see them directly on a calendar.
It's a natural fit for editorial calendars, project deadlines, content schedules, and event planning.
Calendar views use your database's date properties, so your schedule stays connected to the records you're already managing.
One database. Multiple views. Your workflow, your choice.
One of the most important parts of this release is the new property system.
Instead of being limited to plain text, every database can have its own structure, with specialized property types designed for different kinds of information.
Here's what you can use:
| Property | What It Does |
|---|---|
| Title | The primary name or identifier of a record |
| Text | Store descriptions, notes, and other written information |
| Number | Track quantities, prices, scores, and numerical values |
| Date | Manage deadlines, appointments, and scheduled events |
| Status | Follow progress through defined workflow stages |
| Select | Choose one option from a predefined list |
| Multi-select | Assign multiple labels or categories |
| Person | Associate records with people |
| Checkbox | Track yes/no values or completed items |
| URL | Store website addresses and links |
| Keep email addresses organized | |
| Phone | Store phone numbers |
| Barcode | Work with barcode values |
| Relation | Connect records to other database records |
| Formula | Calculate values using other properties |
| Rollup | Summarize information from related records |
| Created Time | See when a record was created |
| Last Edited Time | See when it was last modified |
| Created By | Identify who created a record |
| Last Edited By | Identify who last updated it |
| Unique ID | Give records their own unique identifiers |
Properties aren't just labels. Each type can have its own configuration.
Depending on the property, you can define default values, required fields, available options, character limits, and other type-specific settings.
For example, you could create a client database where every record has a required name, a contact email, a phone number, a project status, and a creation timestamp.
Or you could build a content database with categories, publication dates, assigned people, and calculated fields.
You can also edit your property structure as your workflow evolves.
This is much more than a simple table. It's a customizable data management system built directly into Workspace.
As databases grow, finding the right information becomes increasingly important.
With the new filtering and sorting tools, you can focus on the records that actually matter.
Filters let you narrow down your data using property values and conditions. For example, you could focus on projects that are still in progress or records assigned to a particular person.
Sorting lets you organize records by relevant properties, such as dates, numbers, names, or other supported values.
You can also customize how information is displayed, including which properties are visible and how cards are presented in supported views.
Different views can serve different purposes while remaining connected to the same underlying database.
No need to duplicate your information just to organize it differently.
Your AI assistant, Lara, is also part of the Database experience.
With the dedicated Ask Lara integration, you can bring AI assistance into your database workflow without having to leave Workspace.
It's another step toward our goal of making ReadyTools more than a collection of separate tools: a connected environment where your information and AI assistance work together.
Managing information also means understanding what has changed.
That's why Databases include dedicated Activity and Trash features.
Activity helps you review recorded database changes, giving you better visibility into what has happened.
Trash provides a dedicated place to review deleted records and manage recoverable information.
These tools make it easier to keep track of your database as it grows, especially when multiple people are involved.
Your information shouldn't be trapped inside one interface.
Workspace Databases support CSV import and export, making it easier to bring existing information into ReadyTools or take your records elsewhere.
Already managing data in a spreadsheet? Import it into your database and continue organizing it using ReadyTools properties and views.
Need a copy of your data? Export it to CSV for use in other compatible applications.
This gives you more flexibility over how your information moves between tools.
Not every collaborator needs the same level of access.
With Database Permissions, you can configure important actions independently, including:
Read: Who can view database records.
Add: Who can create new records.
Edit: Who can modify existing records.
Delete: Who can remove records.
This allows you to create more controlled workflows, particularly when collaborating with other Workspace members.
For example, you might want someone to view and add information without giving them permission to delete existing records.
Databases also include a dedicated Public Form Submission setting.
When enabled, supported Workspace form links can submit information to the database.
Importantly, this does not expose the database's record API to anonymous visitors.
It's designed to support form-based data collection without turning your entire database into a publicly accessible resource.
There's also a small detail we're particularly excited about.
The Database system uses our own ID-generation technology, built and maintained as part of the ReadyTools ecosystem.
Rather than simply developing tools for others, we're using our own technology inside the products we build.
It's an example of something we strongly believe in: if we build a tool, we should be willing to use it ourselves.
Unique ID properties make it possible to give records their own identifiers, which can be especially useful for organizing and referencing information.
We've also introduced database limits and safeguards to help keep the system manageable and reliable.
As the platform evolves, we'll continue refining these limits and expanding what's possible.
We're also preparing for deeper API-related capabilities in the future, opening up more possibilities for developers, integrations, and automated workflows.
For now, the focus is simple: giving you a powerful database experience directly inside Workspace.
With Databases, ReadyTools Workspace takes another major step forward.
You can now combine documents, blocks, boards, calendars, structured records, and AI assistance in one connected environment.
No unnecessary switching between applications. No need to rebuild familiar workflows from scratch.
Just your information, organized the way you want.
Workspace Databases are now available in ReadyTools.
Open your Workspace, type /database, and start building something new.
Built with care. Built for flexibility. Built with ReadyTools.
