Project information often starts as notes, then spreads across task lists, spreadsheets, calendars, and separate pages. ReadyTools Workspace now includes Databases for organizing structured records in one place, alongside a Today block that brings daily priorities into a Workspace page. The two features address different needs: Databases help structure information over time, while Today offers a focused place to see what matters now.
Type /database inside a Workspace page to add a Database block. Start with a blank database, choose a template for projects, clients, or content, or connect to a database that already exists. Reusing an existing database lets its information appear in another part of the Workspace without rebuilding the records.
That flexibility matters when the same information serves more than one purpose. A project database, for example, can hold the shared record of each project while different parts of a Workspace use it for planning or review. The database remains the source of the records; its views change how those records are presented.
Each database supports three views, so the same records can be organized for different tasks:
Views are connected to the same underlying database. A content team could use a table to maintain titles and assigned people, a board to track stages from idea to publication, and a calendar to review scheduled dates. Those are different ways to work with the records, not three copies that need separate updating.
Database properties let each record hold more than a name and a block of notes. Available types include text, numbers, dates, status, select and multi-select options, people, checkboxes, URLs, email addresses, phone numbers, and barcodes. There are also properties for relations between records, formulas, rollups, creation and edit details, and unique IDs.
Property settings can be tailored to the kind of information they hold. Depending on the property, settings include defaults, required fields, available options, and character limits. For example, a client database could use a required name, email and phone fields, a project status, and a creation timestamp. A content database could track category, publication date, assigned people, and calculated values.
This structure makes records easier to sort and filter as the database grows. Filters can narrow records using property values and conditions, such as showing only projects still in progress. Sorting can order records by supported properties, including dates, numbers, and names. Display settings can also control which properties appear and how cards are shown in supported views.
Database permissions separate key actions: reading records, adding records, editing them, and deleting them. That can support a workflow where collaborators can view and add information but cannot remove existing records. Activity provides visibility into recorded database changes, while Trash gives deleted records a dedicated place for review and recovery.
CSV import and export provide a route for moving records into or out of Workspace. A spreadsheet can be imported to continue organizing its information with database properties and views, and records can be exported as CSV for use in compatible applications.
Databases also have a Public Form Submission setting. When enabled, supported Workspace form links can submit information to a database. This is for collecting submissions through a form; it does not expose the database's record API to anonymous visitors.
Databases help manage structured information, but a busy Workspace can still leave the immediate question unanswered: what needs attention today? Add a Today block by typing /today on a Workspace page. It provides a focused overview of daily work and can sit on a dashboard, a personal planning page, or alongside other blocks. Today is also available from the Tasks page, so the daily view can be reached either from a Workspace page or the task-management area.
Personal Block Templates complement this daily view by letting people save a block they have configured and reuse it later. Select a block, open Block Settings, choose Save as Template, then name and save it. When that structure is needed again, insert the saved template instead of setting it up from scratch.
Databases are suited to information that benefits from consistent fields, multiple views, and filtering or sorting. Today is for a narrower purpose: surfacing daily priorities in a convenient place. Templates help repeat a useful block layout. Together, they add different kinds of structure without requiring every task or note to become a database record.
For a broader view of how notes, files, projects, collaboration, and publishing can live together, ReadyTools Workspace brings those parts of a project into a connected workspace. To try the database experience, open a Workspace page and type /database. For a daily focus block, type /today.
